Configuring Google Business Profile

Learn how to connect and export data from your Google Business Profile locations with SyncRange.

Overview

Google Business Profile provides valuable data about your business's local presence and performance. By connecting your Business Profile locations, you can export reviews, customer media, daily performance metrics, and local SEO insights to Google Sheets for further analysis and reporting.

Prerequisites

Before you can configure Google Business Profile, make sure you have:

Adding Business Profile Locations

To export data from Google Business Profile, you first need to select which locations you want to connect:

  1. Access the Google Integration Dashboard

    From your account dashboard, navigate to Connections > Google Integration.

  2. Find the Business Profile Section

    In the Google Integration dashboard, locate the Business Profile section.

  3. Add a Business Profile Location

    Click the "Add Location" button to open the location selection dialog.

  4. Select a Location

    From the dropdown menu, select the Business Profile location you want to connect. The list shows all locations you have access to in Google Business Profile.

  5. Confirm Your Selection

    Click the "Add Location" button to connect the selected location to your account.

Note

You can only select locations that you have access to in Google Business Profile. If you don't see your location, make sure it's verified in Business Profile and that you're using the same Google account with appropriate permissions.

Managing Connected Locations

After connecting Business Profile locations, you can manage them from the Google Integration dashboard:

Viewing Connected Locations

All your connected Business Profile locations are listed in the Business Profile section of the Google Integration dashboard. For each location, you can see:

  • The location name
  • The location ID
  • An option to remove the location from your account

Removing a Location

To remove a Business Profile location from your account:

  1. Find the location in the Business Profile section of the dashboard
  2. Click the "X" icon next to the location name
  3. Confirm the removal when prompted

Important

Removing a location will not affect your Google Business Profile account, but any exporters using this location will stop working. You'll need to update those exporters to use a different location.

Creating Business Profile Exports

Once you've connected your Business Profile locations, you can create exports to send data to Google Sheets:

  1. Navigate to the Export Builder from your dashboard
  2. Click "Create New Export"
  3. Select "Google Business Profile" as the data source
  4. Choose the Business Profile location you want to export data from
  5. Select a Google Sheet as the destination
  6. Configure the export settings (see below)
  7. Set up a schedule for the export
  8. Click "Create Export" to save your configuration

Business Profile Export Settings

When configuring a Business Profile export, you'll have several options to customize what data is exported:

Basic Settings

Configure the fundamental settings for your export:

  • Export Name: A descriptive name to identify your export
  • Date Range: Select how much historical data to include:
    • Last day
    • Last 7 days
    • Last 30 days
    • Last 90 days
    • Custom date range

Dimension Tabs

Business Profile exports are organized by dimensions, with each dimension creating a separate tab in your Google Sheet. The interface uses a tab-based layout where you can configure each dimension independently:

Available dimensions include:

  • Daily Performance: Daily metrics including views, clicks, calls, direction requests, bookings, and more
  • Reviews: Customer reviews with ratings, comments, reply information, and dates
  • Customer Media: Customer-uploaded photos and media with attribution and metadata

For each dimension tab, you can:

  • Enable/Disable: Choose whether to include this dimension in your export by selecting metrics
  • Set Data Handling: Choose whether to append new data or replace existing data
  • Select Metrics: Choose which metrics to include for this dimension

Daily Performance Metrics

For the Daily Performance dimension, you can select from the following metrics:

  • Views on Maps (Desktop): Number of times your Business Profile appeared on Google Maps for desktop users
  • Views on Search (Desktop): Number of times your Business Profile appeared in Google Search results for desktop users
  • Views on Maps (Mobile): Number of times your Business Profile appeared on Google Maps for mobile users
  • Views on Search (Mobile): Number of times your Business Profile appeared in Google Search results for mobile users
  • Messages: Number of messages sent to your business
  • Direction Requests: Number of requests for directions to your location
  • Phone Calls: Number of phone calls made to your business
  • Website Clicks: Number of clicks to your website
  • Bookings: Number of bookings made through your Business Profile
  • Food Orders: Number of food orders placed (restaurants only)
  • Menu Clicks: Number of clicks on your menu (restaurants only)
  • Date Exported: Timestamp of when the export was run

Review Metrics

For the Reviews dimension, you can export the following fields:

  • Review ID: Unique identifier for each review
  • Star Rating: Rating given by the reviewer (1-5 stars)
  • Reviewer Name: Display name of the reviewer
  • Review Comment: The review text/comment
  • Review Reply: Your response to the review (if any)
  • Review Creation Time: Full timestamp when the review was created
  • Review Creation Date: Date when the review was created
  • Review Modification Time: Full timestamp when the review was last modified
  • Review Modification Date: Date when the review was last modified
  • Review Reply Time: Full timestamp when you replied to the review
  • Date Exported: Timestamp of when the export was run

Customer Media Metrics

For the Customer Media dimension, you can export the following fields:

  • Media ID: Unique identifier for the media item
  • Media Format: Type of media (photo, video, etc.)
  • Customer Media URL: Direct URL to the media item
  • Thumbnail URL: URL to the thumbnail version
  • Width (px): Width of the media in pixels
  • Height (px): Height of the media in pixels
  • Contributor Name: Name of the customer who uploaded the media
  • Contributor Photo URL: Profile photo URL of the contributor
  • Upload Time: When the media was uploaded
  • Date Exported: Timestamp of when the export was run

Data Handling

For each dimension tab, you can choose how to handle the exported data:

  • Replace (default): Each export run will clear existing data and replace it with new data
  • Append: Each export run will add new data rows without removing existing data

The append option is particularly useful for building historical datasets. When enabled, new data will be added to existing rows rather than replacing them, allowing you to track changes over time.

Understanding Tab Badges

Each dimension tab displays a badge showing how many metrics are currently selected. A zero indicates that the dimension will not be included in the export. Tabs will be created even with zero metrics to show headers, helping you understand the export structure.

Best Practices

  • Regular Exports: Set up daily or weekly exports to build a historical dataset of your local performance metrics
  • Review Monitoring: Export reviews regularly to track customer sentiment and respond promptly to feedback
  • Customer Media Tracking: Export customer media to monitor user-generated content and engagement
  • Performance Analysis: Combine daily performance metrics with reviews to understand the relationship between visibility and reputation
  • Multi-Location Management: Create separate exports for each location to compare performance across different business locations
  • Custom Dashboards: Use Google Sheets' charting capabilities to create custom local SEO dashboards with your exported data

Troubleshooting

Location Not Appearing

If your Business Profile location doesn't appear in the selection list:

  • Verify you're using the same Google account that manages the location in Business Profile
  • Check that the location is verified in Google Business Profile
  • Ensure you have sufficient permissions (Manager or Owner access)
  • Make sure the Business Profile API is enabled for your Google Cloud project

No Data in Exports

If your exports aren't showing any data:

  • Check that your location has activity during the selected date range
  • Verify that metrics are selected for the dimension tabs you're exporting
  • Ensure your Business Profile location is correctly set up and verified
  • Remember that new locations may have limited data initially
  • Some dimensions (like Reviews and Customer Media) may have no data if there are no reviews or customer uploads

Reviews or Media Not Exporting

If reviews or customer media are not appearing in your exports:

  • Verify that reviews and media exist for your location in Google Business Profile
  • Check that the date range includes the time period when reviews/media were created
  • Ensure you have appropriate API permissions for accessing reviews and media data
  • Note that only customer-uploaded media is exported (not business-uploaded media)

API Quota Errors

If you encounter API quota errors:

  • Reduce the frequency of your exports
  • Limit the number of dimensions and metrics in your exports
  • Consider exporting fewer locations simultaneously
  • Check your Google Cloud project quota limits
