How to Sync Shopify to Microsoft Excel (Auto-Updating Workbooks)
How to Sync Shopify to Microsoft Excel
Excel is still where a lot of Shopify reporting actually happens. Finance teams reconcile in it, ops teams plan stock in it, and owners build the weekly numbers in it. Learn how to keep your Shopify orders, products, customers and inventory flowing into an Excel workbook automatically, so the file is already up to date when you open it.
If your business runs on Microsoft 365, you don't need to move your reporting to Google Sheets just to get live Shopify data. SyncRange writes Shopify data straight into Excel workbooks stored in OneDrive or SharePoint, on the schedule you choose.
Why Sync Shopify Data to Excel?
Shopify's built-in reports are great for a quick look, but most teams eventually need the raw data in a spreadsheet: to add their own calculations, combine it with costs or targets, or hand it to an accountant. Excel gives you formulas, pivot tables and Power Query on top of that data, in a tool your team already knows.
The problem is getting the data there and keeping it fresh. Without an automated feed, someone has to download a CSV, clean it up, paste it into the master workbook, and fix whatever broke since last week.
Use Cases and Benefits
- Sales and finance reporting: Pull Orders and Line Items into Excel to report on revenue, discounts, taxes, shipping and refunded amounts by day, product, vendor or discount code. Build pivot tables once and let them pick up new rows each time the export runs.
- Inventory and purchasing: Export Products (with variant, SKU and inventory quantity) and your inventory data to see what's running low and plan reorders, without copying numbers out of Shopify admin.
- Customer analysis: Export Customers alongside orders to look at repeat purchases, top customers and order history in your own model.
- Shared team workbooks: Store the workbook in SharePoint so finance, ops and marketing all work from the same up-to-date file instead of emailing CSVs around.
- Power BI reports: Excel workbooks in OneDrive or SharePoint are a native Power BI data source, so the same workbook can feed a Power BI dashboard. See Viewing Your Data in Power BI.
Manual Export of Shopify Data to Excel
Shopify lets you export data to CSV from the admin. For example, you can go to Orders, select or filter the orders you want, and click Export. Products and customers have similar export options on their own pages. You can then open the CSV in Excel or paste it into an existing workbook.
That works for an occasional one-off report, but it has real drawbacks:
- The export is a snapshot. As soon as a new order comes in, your workbook is out of date.
- Every refresh means downloading, cleaning and pasting the data again.
- Formulas and pivot tables that point at the old data often break when the layout or row count changes.
- It's easy to miss a day, double-count orders or paste into the wrong sheet.
If you report on Shopify every week (or every day), those manual steps add up quickly.
Automating Shopify to Excel with SyncRange
SyncRange connects to your Shopify store with read-only access and exports the data you choose into an Excel workbook on a schedule. There's no code to write and no CSVs to download.
- Install SyncRange on your store: Install SyncRange from the Shopify App Store, or create a free account and connect your store from the Apps section using your your-store-name.myshopify.com URL. SyncRange only requests read-only permissions, so it can't change your products, orders or any other store data. See Connecting Your Shopify Store.
- Connect your Microsoft account: Link the Microsoft account that holds your workbook. See Connecting Your Microsoft Account.
- Add an Excel file: Go to the Microsoft integration dashboard and, in the Excel (OneDrive & SharePoint) section, click Add Excel File. Choose OneDrive or SharePoint as the storage location, then either create a new workbook or browse or search for an existing .xlsx file and click Connect. SharePoint access may need approval from your Microsoft admin in some organisations. See Configuring Microsoft Excel.
- Create the export: Open Export Builder and click Create New Export. Choose Shopify as the data source, pick your store if you have more than one, and select your Excel workbook as the destination. See Configuring Shopify Exports.
- Choose your data and fields: Each data tab you enable lands in its own worksheet with a header row. Popular choices are Orders, Line Items, Orders + Line Items, Products, Customers and Inventory, and there are also Sales Metrics, Product Analysis, Refund Analysis and Shopify Analytics tabs (sessions, campaigns, marketing engagements and more). Pick only the columns you need. The Shopify data reference lists every field.
- Set the date range and update behaviour: For orders and other date-based tabs, pick a range such as Last 30 days, or Since last export for incremental syncs (best with Orders in Append mode). Products, inventory and other catalog tabs export a full current snapshot each run. For each tab, choose whether to append new rows or replace the existing data.
- Run it, then schedule it: Save the export and run it once to check the workbook. When it looks right, set a schedule, from daily or weekly to hourly on paid plans. See Setting Export Schedules.
If you installed from the Shopify App Store, you can also connect your Excel destination, create and schedule Shopify exports, and check run status from the embedded SyncRange app, without leaving Shopify admin.
Once the export is set up, SyncRange keeps your workbook up to date on its own. Build your formulas, pivot tables and charts on top of the exported worksheets, and they'll reflect the latest data after each run.
Automating the Sync Provides Clear Benefits
- Saves time: No more weekly CSV downloads and copy-paste. Set the export up once and SyncRange handles the recurring work.
- Fewer manual errors: Every run follows the same tabs, fields and date range, so you avoid missed days, duplicated rows and pasting into the wrong sheet.
- Reports stay current: Your workbook refreshes on the schedule you set, so the numbers are ready when you open the file.
- Works with the tools you already use: Keep using Excel formulas, pivot tables and Power Query, share through OneDrive or SharePoint, and connect Power BI to the same workbook if you need dashboards.
- More than Shopify: SyncRange can also export ad platforms like Meta Ads and Google Ads, and Google Analytics 4, into Excel, so you can put sales and marketing data side by side. See the Shopify to Excel workflow.
Tips for Getting Started
- Start small. Begin with Orders and Products over the last 30 days, check the output, then add more tabs and columns.
- Use Append for order history. "Since last export" with Append builds a growing order history in your workbook without re-exporting everything each run.
- Keep calculations on separate sheets. Point your formulas and pivot tables at the exported worksheets, and do your own work on other sheets in the workbook.
- Very large stores: If your order history is very large, consider BigQuery for long-term storage and keep Excel for summaries. See How to Sync Shopify to BigQuery.
